Administrative Assistant—Part-time, Verona, VA
The Blue Ridge Area Food Bank is seeking an experienced Administrative Assistant to serve as a welcoming first point of contact at the Food Bank’s Verona headquarters.
In this role, you will be the first point of contact for visitors, volunteers, agency personnel, and guests entering the Food Bank, as well as for incoming telephone calls. You will help create a warm, welcoming, and professional environment for everyone who visits or contacts the Food Bank.
This position also provides administrative and clerical support to the Volunteer Manager (WR) and Administrative Services Manager.
Key Responsibilities:
- Monitor the volunteer email inbox and screen incoming volunteer emails and phone calls, responding to routine requests and directing others to the appropriate staff member or voicemail.
- Communicate with volunteers and staff to manage cancellations and rescheduling of individual volunteers for the WR warehouse.
- Forward group volunteer requests to the appropriate Volunteer Manager based on region.
- Manage volunteer kiosks, including daily setup, troubleshooting with volunteers, and ordering or replacing badge printer rolls.
- Manage requests for emergency food boxes, including providing resources and referrals to partner pantries in the appropriate area.
- Assist individuals and businesses with walk-in food and financial donations, including weighing food donations, maintaining appropriate records, and providing receipts for food received.
- Assist with organizing and sorting incoming mail; separate and sort donations and gifts by donor campaign; run adding-machine tapes for each batch; reconcile gift deposits; and enter daily deposit data into the Ceres database.
- Assist with monitoring inventory of office and facility supplies, materials, and equipment, including ordering, unpacking, restocking, and organizing office, facility, and kitchen supplies.
Required Skills and Qualifications:
- Excellent customer service skills and comfort communicating by phone.
- Ability to effectively interact and communicate with people from diverse backgrounds.
- Proficiency with Microsoft Office 365, including Outlook, Word, and Excel; familiarity with video conferencing platforms such as Teams and Zoom; and the ability to navigate the BRAFB website as a resource.
- Excellent attention to detail and organizational skills.
- Ability to appropriately handle confidential information.
- Ability to manage multiple and varied tasks.
- Willingness to complete repetitive tasks as needed.
- Ability to learn and use a variety of general office equipment.
- Ability to work both independently and collaboratively as part of a team.
- Commitment to maintaining a professional work environment.
- Ability to bend and occasionally lift up to 10 pounds.
- High school diploma or equivalent.
Schedule and Compensation:
- The Administrative Assistant is a part-time position, working approximately 16–21 hours per week, with flexible hours Monday through Friday.
- The hiring range is $20.00–$22.00 per hour.
